What Your Administrator Controls

Several things you see in iMaintenance are set by your administrator, not by you. If a screen, field, or action described in this guide is missing, the behavior may be controlled by one of these settings.

Your administrator configures iMaintenance in the iCWP configuration platform. Settings apply at tenant level, plant level, or both, so two plants in the same organization can behave differently.

Table 1. Settings that change what you see
Setting What it changes for you
Core module enablement Whether the Issue, Work Order, and Timesheet modules are visible and usable at all. Set separately for the tenant and for each plant.
Work order settings How operations are confirmed, whether you can raise a follow-up issue, whether you can raise an issue when submitting a form, whether RCA details are captured, and whether measuring point features are available.
User experience controls Which columns and fields appear in the Work Order, Equipment, Functional Location, and Issue list views, and how attachments behave.
Field configuration templates (RACE) Which pages, sections, and fields you see when you report an issue or carry out an inspection. A template must be published before it takes effect.
AI configuration Whether AI-assisted capabilities appear. AI agents are enabled or disabled individually, at tenant and plant level.
Form auto-assignment Whether forms are already attached to the work order you open, and on what criteria — equipment, functional location, task list, maintenance plan, or work order type.
Mobile data sync preferences Which global and transactional data reaches your device, set at tenant, plant, and role level. This determines what you can work on offline.
Storage and sync settings How the app handles cached data and when a full sync is triggered.
Delay reasons The reasons and sub-reasons you choose from when you report a blocker on an operation, and the group responsible for clearing each one. They are set for each plant. If a reason you need is not listed, ask your administrator.
Wrench loss display and editing Where blocked time appears: a Wrench Loss tab while you execute a work order, a wrench loss section in operation confirmation and the timesheet, and a wrench losses section on the Technical Completion (TECO) screen. A separate setting decides whether you can adjust blocker durations by changing the start or end time in operation confirmation. If it is off, durations are read-only. Each setting is turned on separately for each plant and all are off by default, so a plant that hasn't enabled them won't show these sections.
User roles and groups Which actions you are permitted to take, and which plants and work centers your work orders come from.

Settings you can change yourself — theme, language, and profile — are covered in Switch between Dark and Light Modes, Choose Language, and View User Profile.

Changing a personal setting does not change the status of your work orders, operations, permits, or timesheets.
