Preface
This guide is for Supervisors and Round Planners who use the mRounds web application. It explains the conventions, related information, and support contacts used throughout the guide.
What Your Administrator Controls
Several parts of the web application are governed by permissions and tenant configuration, so a screen or option described in this guide may not appear for your account.

As a Supervisor or Round Planner, use mRounds to design inspection work, schedule and assign rounds, monitor execution, review findings, and hand over the shift.
Get Started
Log in to the web application and find your way around its modules.
Start Your Shift
Accept the Shift Handover Report and find the rounds, Issues, and Actions you need.
Monitor the Shift
Use the dashboards together to understand compliance, identify exceptions, review workload, and open the rounds, Issues, or Actions that need attention.
Investigate Rounds That Need Attention
Investigate overdue, skipped, partly open, or exception-flagged rounds to understand what happened and route the finding to the correct follow-up process.
Follow Up on Findings
Decide whether a finding becomes an Issue, an Action, an ERP Notification, or a Gensuite Issue, and how each one is tracked to closure.
Hand Over Your Shift
End the shift by reviewing the operational record, adding the required context, submitting the report, and making it available to the incoming Supervisor.
Create Dashboards and Reports
Build custom dashboards, widgets, and transaction reports, and share dashboard data as PDF reports.
Create a Round Plan
Choose the starting method that suits the plan you need — manual, copy, template, Excel, AI, or ad hoc. The preparation that follows is the same for all of them, from defining scope to approval and scheduling.
Build the Round Content
Add the locations, assets, pages, sections, and tasks Operators will work through, or import them from a template or another round plan.
Configure Responses and Logic
Choose and configure the response type for each task, and add conditional logic for follow-up tasks and outcomes.
Get a Round Plan Approved
Preview a round plan, send it for approval, approve it, and review the approval audit trail.
Schedule Rounds
Schedule a published round plan to define when rounds are generated, when they are due, and which Operators or groups receive the work.
Maintain Round Plans
Modify round plans one at a time or in bulk, and archive, restore, or delete them.

  Choose a Local Template for one plant or a Global Template for reusable content across plants, based on ownership and standardization needs.

  Create a reusable round-plan template when the same structure, sections, and tasks will support multiple plans or plants.
- Create Templates from Existing Templates
  Copy an existing template when its structure already matches most of the new requirement. Update the copy without changing the original.

Create a Round Plan Template Using AI

Use AI-assisted template creation when source documents or a clear prompt can provide a useful starting point. Review and correct the generated content before use.

The system reads both your instructions and the uploaded documents to create a template that matches your needs. You can also choose specific pages or sections to focus on while generating the template.

This feature helps you save time, reduce manual effort, and maintain consistency across all your Round Plans—without compromising on quality.

Click the Templates section on the left pane.

The Templates screen lists the round templates.
In the Templates screen, click the Create Using AI button at the top right corner.
In the Choose a Starting Point screen, select one of these starting points.
- Upload and Convert
  - Choose the relevant Plant and Unit from the drop-down.
  - Click the Upload icon and select the file (image or pdf) from your device.
- Describe your Round Template
  - Choose the relevant Plant and Unit from the drop-down.
  - Enter a prompt and upload any relevant attachments for better results.
Review the draft Round Plan in the Template Details screen.

The AI analyzes the uploaded content and generates the draft.
Click Continue on top right.
In the Tag Tasks and Assets screen, review the generated Round Plan against this checklist before making any changes:
- Does every task reflect the prompt and the referenced source content, with no fabricated tasks?
- Are field types, labels, and mandatory flags correct for each task?
- Are units, ranges, and formulas on Number/Slider tasks accurate for this asset?
- Is the section and page layout usable on a mobile screen, not just on web?
- Are safety-critical tasks (verification, mandatory fields, exception flags) present and not silently dropped?
Edit the generated template as needed — adjust field types, labels, and mandatory fields — until it passes the checklist above.
Once all changes are complete, click Mark Ready.
In the Round Plans that will reflect Template changes window, select the round plans to update with the new template.
Click Done to complete the template creation.

The generated template is saved with Ready status and is available from the Templates screen.
